General

You upload your employee roster once. Our system automatically schedules a cake delivery 72 hours before each birthday, coordinates with a local bakery, and dispatches a courier — all without any manual action from your team.

We partner with vetted local bakeries and courier networks in 20+ cities. You never need to coordinate pickups, deliveries, or vendor relationships. We handle it end to end.

Our bakery partners offer a wide selection — classic layer cakes, cheesecakes, gluten-free, vegan, nut-free, and more. You can set dietary preference defaults per employee, and we accommodate them automatically.

Yes. You set a message template in your dashboard (e.g., "Happy Birthday, {name}! — The [Company] Team"). We personalize it for each employee automatically when the order is placed.

Privacy & Addresses

Each employee receives a unique, private link. They enter their own delivery address directly. We encrypt the address at rest and purge it from our systems after the delivery is confirmed. HR never sees it.

We are GDPR and CCPA compliant. Employee addresses are encrypted with AES-256, access is role-restricted, and we maintain detailed audit logs. Our SOC 2 Type II audit is currently in progress.

When employees receive their private address link, they also have the option to opt out entirely. If they opt out, no order is placed, and their preference is stored so they are never prompted again unless they choose to re-enroll.

Delivery

We need at least 72 hours before the birthday to place the order with the bakery and schedule the courier. Birthdays added to the system with less than 72 hours of lead time will be queued for the following year.

If a delivery attempt is unsuccessful, we automatically reattempt within 24 hours. If we are still unable to deliver, we issue a full refund and notify you with details so you can follow up directly with the employee.

Billing

No. Cake in the Loop is entirely pay-per-delivery. You are only charged when a cake is successfully delivered. There are no monthly fees, no seat fees, and no setup costs.

Your payment method is charged only after we receive delivery confirmation from the courier. You will receive an itemized receipt for each delivery via email.

Yes. If a delivery fails and we are unable to reattempt, you receive a full automatic refund. You can also request a refund within 48 hours of any delivery by contacting hello@cakeintheloop.com.
